Uniform Procurement Contracts: 12 Technical Clauses You Must Specify

Most uniform procurement disputes trace back to vague technical clauses. Based on real order experience, here are 12 technical specifications every corporate uniform contract should include, with recommended wording and acceptance thresholds.

When signing a corporate uniform contract, most buyers focus on price and delivery dates, leaving technical specifications as vague as "quality acceptable, workmanship good." Such wording offers zero protection when disputes arise. Based on our experience serving 5,000+ corporate clients, over 70% of delivery disputes trace back to poorly written technical clauses. Here are the 12 specifications that belong in every uniform contract.

Fabric Specifications (Items 1-4)

1. Fabric composition and weight. Specify exact blend ratios (e.g., "polyester/cotton 65/35") and GSM with tolerance ("120 g/㎡ ±5%"). Weight deviation beyond ±8% visibly changes hand feel and drape.

2. Color difference. Reference the GB/T 250 gray scale: "≥ Grade 4 within the same batch; ≥ Grade 3-4 between batches." Words like "no obvious difference" cannot be enforced.

3. Color fastness. Recommended minimums: washing ≥ Grade 4, rubbing (dry/wet) ≥ Grade 3-4, light ≥ Grade 4. For export orders, add OEKO-TEX Standard 100 compliance with test reports as acceptance attachments.

4. Shrinkage. "Dimensional change after washing ≤ ±3% in both directions, tested per GB/T 8628-8630."

Workmanship Specifications (Items 5-8)

5. Size tolerance. "Finished garment dimensions per sealed sample, tolerance ±1.5cm for body length, chest, sleeve." The sealed sample, signed by both parties, is the acceptance baseline.

6. Stitching. "12 stitches per 3 inches (±1), straight seams, no skipped stitches; no splicing on visible panels."

7. Trims. Lock brand or quality grade: "YKK zippers or equivalent; buttons and zippers tested to 50 open-close cycles; no sharp edges on metal trims." Cost-cutting usually starts here.

8. Logo craftsmanship. "Embroidery density ≥4 stitches/mm, clean edges; print adhesion ≥ Grade 4 (cross-hatch test), no visible fading after 20 washes."

Delivery and Acceptance (Items 9-12)

9. Packaging and labeling. "Packed by department and size with packing lists inside each carton; each garment tagged with style, size, and fabric composition."

10. Sampling plan. "Acceptance inspection per GB/T 2828.1 general sampling, AQL 2.5; failed lots subject to 100% re-inspection." This turns acceptance from opinion into statistics.

11. Delivery schedule. "First batch by [date]; orders above 1,000 units may be split into two deliveries no more than 15 days apart, with batch quantities fixed in the contract."

12. Defect handling. "Confirmed quality defects restocked or repaired free within 15 days; round-trip shipping borne by the supplier; late delivery penalized at 0.5% of contract value per day." This clause gives the previous eleven their teeth.

Execution Tips

Seal samples first — every indicator revolves around them. Write numbers, never adjectives. Make test reports a precondition for payment. And evaluate the factory itself before signing: our factory audit checklist covers the eight items worth scoring on site.

Hengtong applies a "sealed sample + quantified indicators + inspection reports" standard to all bulk workwear orders. For a contract template reference, contact us or browse our case studies.
